    To upload/enter the software licensing information into Snow License Manager is the exercise knows as Software license entitlement gathering which can be done with the help of pre-defined Snow License import template. We can share these template with the procurement team, Contract Team or with Application owners*(based on inventoried applications) to fill the license details in the template. The template contains around 15-20 columns out of which few are mandatory columns (Purchase date, Application name, Agreement name, Agreement Number, Agreement Start/End date, Quantity, License metric , Purchase type).

  • Sorry I didn't word my question very well. We understand how to enter licensing information into Snow License Manager. What I am trying to find out is how other Snow customers get the licensing information in the first place. Does it come from a contract department after a software license agreement review. Does the person entering in the information into Snow License Manager review the software license agreement themselves and make that determination? In other words, who interprets the license use rights and how does the team entering in that information receive it?

  • A hypothetical idea of how that could work:

     

    The team entering the licenses into Snow are also the license managers (hence the name SLM where M stands for manager). That means that the "Licensing" team (or person) are the ones reviewing the EULAs, Terms and contracts from a Licensing perspective (other teams may have to look at the financial or legal perspectives). Licensing questions go to them.

     

    Software requests (brand new software for your business or new install/user for an existing application) go through the "Licensing" team to review compliance ideally before approval is granted. The "Licensing" team works through the purchasing arm of your business who buy and deliver to this Licensing team directly. Depending on the size of your business, it could be practical to have the purchasing done by approved members of the Licensing team (merge Licensing and Purchasing roles).

     

    One of the teams (I would suggest Licensing) can be used as the gathering point for software requests. They will contact whoever else needs to be involved (Legal, Purchasing, other IT teams, ...). Once it has been established that everyone is OK with the software request, licenses can be assigned (if already on hand) or purchased.

     

    This is a description in terms of roles. In small businesses, all of the above could be work of a couple of people playing all the roles.
