Handling "not assigned" licenses

Hi.

We still have a lot of unassigned licenses in our system, for which we don't have an installation in our system, for exampel the software is really old. What is the best way to handle these license objects ?

I create a special leagl entity "Archive - old licenses". If I edit the license, I can switch the legal entity to "Archive" but after that the object is still shown in Snowboard (Alarms / critical), because I coud not assigned a user or server machines....So the license is still unassigned.

Is their a solution I can use, to assign the licenses and get it off from the warnings ?

I don't want to delete the license object, because I need a history of our license purchasing.

Anyone a idea ?

Best regards

Sven

Hi Sven, you mentioned a warning on your Snowboard. Which one do you exactly mean? Also, if you mark your licenses with a custom field (as David said), your benefit would be, that you can keep the organization unit, the license belongs to. /marcel
    • Hi Marcel. I creat a custom field "Retired License", which I select alos if I change old licenses to our new "Archive-OU". Good solution. You ask which warning I mean, I take a screenshot of the warning I mean. Best regards Sven

Hi Sven, the warning "There are xyz incomplete licenses" corresponds with the following view: In my test environment, licenses are not flagged as Incomplete , if the maintenance is run out. What's the cause, if you look into one of the flagged licenses? /marcel
        • Hi Marcel. Most of the licenses I will switch into our "Archive OU" still have the message that their are not enough base licenses (for Upgrade). So I set my "Custom Flag : Retired License" and switch the legal entity to "Archive". So in this case, the licenses are still "unassigned". Is their another solution to complete these licenses in a correct way ? Or is the only option, to mark this licenses as "Retired" and switch them to "Archive" ?. Thank's Best regards Sven

Hi Sven, when you move an upgrade license to your archive ou and the base license is in another (not superior) ou, the matching willl be lost. This function is by design. That's why you receive the message "not enough base licenses". Our suggestion would be not to change the ou and to only set the custom flag. Would this work for you? /marcel

  • Hi Sven, Great question! Just so I understand correctly, these are legacy licenses that are old and no-longer in use within your organisation that you still want to have in Snow? If so, what I tend to do is create a custom field and create a 'tick box' that states 'Retired License'. Granted, it doesn't remove the unassigned bits, but it does let you manage your retired licenses better. The 'unassigned license' warning report could also show 'Retired License' column to give you piece of mind.  Hope this helps, David

  • Hi Marcel. I will use the flag "Retired License" and don't switch the OU in the first step. I first will check what is the actual problem with our base licenses. Are they complete not in system or where they placed in another OU. Maybe if we don't add the base license in our snow system, it maybe a solution to set this license objects into "Archive" also. Thank's Best regards Sven

Hi Sven, it may be the cause, that you haven't set up your base licenses into Snow License Manager. This would be the reason for the warning message. Putting these licenses into the archive ou won't help against the warning message, as this ou behaves like every other ou. Please note, that this warning message has absolutely no impact on any other component or license than the affected ones. These will simply not count to your compliance, because from a licensing perspective they are not valid without their base license. /marcel

      • Hi Marcel. I understand your discription. Maybe you still have a best practice solution in the following case. We also see a lot of licenses were is no installation in our system and also no license requirements. For Compliance View it is no problem, I know. But I would like to mark and report this "Backlog" of license to show it in a detail view for our management. Did you have an idea or solution, which will be the best way ( maybe creat a custom field ??) Thank's Sven
