A new Flexera Community experience is coming on November 25th. Click here for more information.
Flexera One's SaaS Management enables Software Asset Managers with the detail required when looking to optimize Salesforce spend across the organization.
Specifically, SaaS Management enables you to:
To further enhance our capabilities, we have developed a Microsoft Power BI report that provides even more detailed insights into your Salesforce position.
The report, which uses the SaaS Management APIs, was developed in partnership with our customers and product team to ensure that it provides insights that enable improved governance and license management processes for complex multi-org Salesforce environments.
In addition, the Microsoft Power BI report offers a mechanism to provide Salesforce insights to those within your organization who do not use Flexera One's SaaS Management.
To accompany this article, check out this video on Flexera One's Salesforce Power BI reporting for additional details and help with setting up your Power BI report.
The dashboards are preconfigured to calculate spend and optimization potential based on the products you have purchased. In order to obtain optimal value from the Power BI dashboards, we recommend that you add commercial information relating to your Salesforce licenses.
In the Licenses tab of your connected Salesforce org, you can map the user, feature set, or permission set licenses from the Salesforce portal to the actual SKU or product that you have purchased.
In the following screenshot, the Salesforce user license maps against the Sales & Service Cloud - Unlimited Edition (Sales) SKU from the quote.
In the Salesforce Licenses tab, you can also add the Contract SKU Name, the Contact SKU Number (optional) and the Amount (unit price) as listed on the quote for a specific Salesforce org.
The report, which is attached to this article as a Power BI Template (PBIT), can be easily configured by providing:
SaaS Management URL Information Needed for Power BI Reporting | Format |
---|---|
Flexera One Org ID |
999999 |
Managed Application ID |
987654 |
AppExchange Application ID |
789456 |
Marketing Cloud Application ID |
123456 |
When opening the PBIT file, you will be prompted for these values. For further details, see the following screenshot. After entering these values, your Power BI report will retrieve the data relating to the Salesforce-managed applications you have supplied.
Note: Depending upon the number of managed applications, the report may take some time to load.
You may also see the following message, which can be dismissed using the Discard Changes option.
Once you have configured the report, you can then publish it to your Power BI service, allowing the report to be shared within your organization. You can also set a refresh schedule ensuring that the data you see within your report is up to date.

When I download the new file it doesn't automatically prompt for the input data. Once I input the data I keep getting the below errors. I'm only entering Managed Application IDs. Suggestions?
Hi @YvonneB - I've just downloaded the PBIT and upon opening, I get prompted for the parameters, as below:
My first thoughts on seeing the error's are that the report is not authenticating, probably caused by you not being able to enter the refresh token and other parameters. Could you try closing down the PBI designer and reopening the PBIT file (downloaded from here) and try again please?
If you still have problems, let me know and we can jump on a call.
Thanks
