Understanding Microsoft 365 licensing in Snow License Manager

This article explains how Microsoft 365 licensing information is displayed in Snow License Manager and why licensing counts may differ from installation counts.

Microsoft 365 licenses are assigned to users 

Microsoft 365 licenses are user-based and must be assigned to named users. Each licensed user can typically install Microsoft 365 Apps on multiple devices, subject to Microsoft terms.

Why installation counts can exceed license counts

Microsoft 365 allows multiple installations per licensed user. Snow License Manager reports installations separately from user entitlements, which can result in higher installation counts.

Why users may appear without a Microsoft 365 license

This can occur when:

• The user is not licensed in Microsoft 365
• The Microsoft 365 connector has not yet synchronized
• The user account is inactive or missing required attributes

Microsoft 365 licenses cannot be shared

Microsoft 365 licenses are assigned per user and cannot be shared or split across multiple users.

License management responsibilities

Snow License Manager reflects licensing data from Microsoft 365 but does not grant or modify licenses in Microsoft 365. All assignments must be managed in the Microsoft 365 admin portal.

Understanding over-licensing and under-licensing

Licensing positions may change due to:

• Users joining or leaving the organization
• License changes in Microsoft 365
• Delays in data synchronization
